How we work

Three engagement models: pick the one that fits.

Every engagement starts with a brief discovery to determine the right model, define the scope, and set expectations before work begins.

Engagement models

How a DevDocs engagement actually runs.

Documentation Sprint

A fixed-scope audit and delivery sprint. We map your documentation surface, validate the getting-started flow with real users, and deliver prioritized fixes with implementation guidance. Ideal for teams that need clarity before committing to a larger rebuild.

$20K–$45K/mo

Fixed price, 2-4 month SOW. Outcome: audit + IA rebuild + one complete getting-started journey + prioritized cleanup.

Embedded Function

A defined rebuild delivered through an embedded engagement model. API documentation rewrites, developer portals, knowledge-base reconstruction, onboarding systems, and technical content built directly alongside your product, engineering, and support teams.

$45K–$120K/mo

Multi-quarter retainer. Outcome: everything in Tier 1 plus migration, pipelines, and 3-6 complete user journeys.

Strategic Knowledge Partner

A dedicated DevDocs team operating as your documentation function. We own the platform, pipelines, governance, and content systems long-term, managing documentation like infrastructure to drive product adoption, support, or revenue.

Scope-based

12-month rolling partnership. Outcome: full documentation function ownership, platform, governance, and continuous improvement.

Minimum engagement: $20K/mo

Our commitments

Real contributions, not comments

We write PRs against your repo, file structured issues, and land fixes directly. If we need access to produce a contribution, we ask on day one.

One business day response

Requests from engineering or product get an answer within a business day, even if the answer is 'we need longer to dig into this, here's what we know so far.'

Public backlogs

Every engagement runs on a shared backlog your team can see. No sealed deliverables, no surprises. You can audit our priorities and reshape them at any point.

No brief-and-wait

We don't take a brief and disappear for three weeks. Weekly walkthroughs, short async loops, and visible work-in-progress are the default.

Documentation you can maintain

We build documentation systems your team can maintain after we're done. Handoff documentation, style guides, and training sessions are built into every engagement.

First draft within two weeks

Whatever the engagement model, you see real work within the first two weeks. Not a kickoff presentation or a project plan — an actual draft, a restructured section, or a prioritized content backlog.

Before we start

Questions we hear before the first call.

Who are DevDocs consultants?

Senior technical writers, editors, developers, designers, and project managers, matched to your project by niche, industry, and tool familiarity. We don't staff generalists. Every consultant is vetted through multiple rounds before they work with a client.

Do your writers use AI?

Yes, with your approval. All content is written by humans. We use AI to assist with planning, structuring, and editing, but never to replace the writer. We're transparent about when and how AI is used.

Do you replace internal writers?

It depends on the engagement. Sometimes we work alongside an existing team, sometimes we step in where no documentation function exists, and sometimes we take over from a team that's moving on. We adapt to what the situation actually needs.

When are you not a good fit?

If you need a one-off deliverable with no ongoing integration, we're not the right team. Our work is designed to be embedded, iterative, and connected to how your product actually evolves.

How is pricing structured?

Determined after discovery, based on the engagement model and level of involvement. Monthly billing with a small upfront retainer. Cost and expectations are set before execution begins, with no surprises mid-engagement.

What industries do you work in?

Software and SaaS, fintech, healthcare, blockchain, government and RFP, IoT, and hardware. If your domain is technically complex, we've likely worked in it.

Where are you based?

Headquartered in Austin, TX, with offices in Sacramento, CA, and Dublin, Ireland. Consultants are based globally. We work across time zones and match your availability.

Do you offer training for internal teams?

If you'd prefer to build the capability in-house rather than outsource, we offer custom coaching programs for engineering teams and technical leaders. Built by writers who do this daily, tailored to your tools, workflows, and bandwidth.

Can we start with a Documentation Sprint and move to an Embedded Function engagement?

Yes, this is a common pattern. A Documentation Sprint is a good way to see how we work before committing to a longer engagement. Many clients convert to an Embedded Function or Strategic Knowledge Partner engagement after.

What happens at the end of a Documentation Sprint or Embedded Function engagement?

These engagements end with a handoff package: documentation, style guide, and a maintenance guide, so your team is set up to maintain what we've built.
